What qualities make someone suitable for an administrative role, and how should you reflect them in your cover letter?

This blog post analyzes the qualities needed for an administrative role, which is responsible for the core of an organization, and introduces how to naturally incorporate them into your cover letter.

Background

I have lived within a large family since birth. With my grandparents, aunt and uncle, cousin, father, mother, older brother, and myself—eight people in total—living together, our family has always held ‘respect for elders’ and ‘brotherly affection’ as our most important values. While emphasizing brotherly affection often highlights horizontal equality, vertical equality can sometimes be relatively lacking. That’s why people often say large families tend to develop rigid hierarchies and inflexible relationships. But my family was a bit different. We maintained the closeness of a nuclear family while harmoniously preserving the unique hierarchy inherent in a large family. Especially, the hierarchy among the men—my uncle, father, and older brother—was never stiff or cold. Above all, my grandfather’s gentle and warm personality always kept the family atmosphere cozy. Thanks to this, laughter never ceased in our home.
Grandfather and Grandmother were deeply devoted to each other and were always together. This example naturally influenced my aunt and father, fostering a deep affection between them as a couple. As the youngest child, I grew up showered with love from the entire family. Yet, this never meant my mistakes were glossed over. In fact, this family atmosphere greatly influenced me to develop a personality that clearly distinguishes between what should and shouldn’t be done, and firmly judges right from wrong.
Once, while playing at home with a friend, we had a minor argument because he didn’t keep his promise. Watching the situation, my aunt pointed out exactly where I was wrong and told me to apologize to my friend. At the time, I was deeply disappointed and felt unjustly resentful, assuming my aunt would naturally take my side since we were family. However, my father soon learned of the incident and firmly admonished me, stating, “Dividing things into ‘my side’ or ‘your side’ when determining right and wrong is a grave mistake.” Only then did I begin to view the situation more objectively and acknowledge my own fault.
In this way, I grew up learning about society within the protective circle of my family. Thanks to this, I naturally developed an attitude that values courtesy. Nurtured in a harmonious and stable home filled with love, I cultivated a heart that respects others. I can confidently say that this warm and solid family environment was the crucial foundation that shaped who I am today.

School Days

From elementary school through high school graduation, I always conducted myself with respect toward teachers and consideration for friends. This earned me the affection of both teachers and classmates. I never raised my voice in a major argument with friends. Instead, I often took on the role of a ‘mediator’ to resolve conflicts among them. Naturally, while mediating disputes between friends, I learned firsthand how to carefully listen to each side’s perspective, coordinate their positions, and find common ground. It was probably around this time that I began serving as a ‘counselor’ for my friends.
From my position as a mediator, I strove to objectively convey each person’s thoughts and perspectives rather than take sides. Listening to their stories, I often found that minor misunderstandings had snowballed into major problems, and that insufficient communication frequently led to conflict. Through this, I realized that ‘listening well’ is truly the best solution. This insight remained unchanged even after I entered university.
After enrolling in the Business Administration program, I worked multiple part-time jobs to cover tuition and living expenses while actively participating in and leading problem-solving efforts within the small community of campus life. I believe that school and society are fundamentally no different. Especially in an atmosphere like modern society, where everyone tends to focus only on their own story, I firmly believe that the ‘power of listening’ – truly hearing the other person’s perspective – is more essential than anything else. Perhaps the reason I have many people around me and many who feel comfortable with me is precisely because I am someone who genuinely listens well to others.

Strengths and Weaknesses of My Personality

The greatest strength of my personality is my bright and positive attitude. Thanks to this trait, I have positively influenced the people I’ve met so far and achieved positive outcomes in my interpersonal relationships. My bright smile, in particular, naturally spreads to others, often helping to soften hearts even in situations of anger caused by arguments or misunderstandings. This positive energy also extended to colleagues I worked with, enabling everyone to work happily and energetically, and playing a significant role in creating a healthy and warm atmosphere.
Furthermore, I possess an exceptional ability to focus on assigned tasks and have a habit of gathering as much information as possible about any undertaking. My experience has taught me that the more foundational information available, the higher the potential outcomes. Especially in this information age where rapid data collection is crucial, I believe securing and analyzing materials one step ahead of others is key to competitiveness. This tendency allowed me to prepare for and execute my responsibilities more systematically and efficiently.
Of course, I have my shortcomings. I tend to sleep a lot. However, this has never prevented me from completing my tasks on time. In fact, I believe sufficient sleep enhances my work concentration, so it doesn’t pose a significant flaw in professional life. The responsibility to finish assigned tasks quickly and accurately arises from my need for deep sleep, which ultimately improves my work speed and efficiency.
Ultimately, this aspect of my personality has become a driving force that creates a positive atmosphere in any environment and ensures I complete assigned tasks responsibly. I am confident that this bright and diligent attitude will further my growth in the future and also convey positive energy to those around me.

Career History (or Experience Demonstrating Work Capabilities)

My first workplace was the Human Resources Support Team within the Management Support Division of Digital Satellite Broadcasting. There, I handled overall general affairs duties as well as comprehensive management support and HR support tasks. Beyond fundamental administrative responsibilities like resource management, supply management, PC and IP management, and vendor management, I also participated in maintenance tasks such as OA installation and determining service needs. Furthermore, I gained firsthand experience with the flow of large-scale organizational operations by handling various practical tasks related to the headquarters office relocation.
At my next assignment, I worked in the HR Team of the Management Support Headquarters, handling a broader scope of duties that included the general affairs work I had previously experienced. Specifically, I managed attendance tracking, corporate vehicle management, company-wide layout changes, new office openings, office and asset management, trademark registration, intern recruitment and management, contract management and vendor management, internal lecture hall leasing and operation, corporate document issuance, and bid-related document preparation. I also handled the team’s budget planning, supporting organizational operations from a financial perspective.
These experiences built practical capabilities that extend beyond simple administrative tasks, enabling me to contribute to establishing a stable operational foundation and growth base for the organization. Through collaboration with various departments, I enhanced my communication skills and strengthened my problem-solving abilities and situational adaptability across all aspects of my work. Moving forward, I aim to actively support the organization’s efficient operations and growth based on this experience.

Motto and Life Philosophy

Eleanor Roosevelt once said:

“Every experience that stops us in our tracks and makes us tremble with fear gives us strength, courage, and confidence. We can tell ourselves, ‘I’ve overcome this fear, so whatever comes next won’t be a problem.’ So do the things you think you can’t do.”

I deeply resonate with these words and have always considered experience the most crucial measure of living life. Looking back on the path I’ve walked, I realize that the difficult moments I endured then pale in comparison to the fears or challenges I face now. What felt overwhelming at the time, when I reflect on it now with the passage of time, I see it was actually the foundation that drove my growth.
Therefore, I always strive to unleash my full potential. I believe the challenges and trials encountered along the way are not mere suffering, but stepping stones toward a better life. Even if I am deemed unsuitable for your company, this too will be a valuable lesson and precious experience for me. Ultimately, life is shaped by every moment we experience, and I believe all these experiences have made me who I am today.

Aspirations After Joining

Should I join your company, I will grow into a talent who contributes to its development through continuous self-improvement. Building on my bright and positive personality, I will steadily accumulate the expertise required for the job and approach it with a responsible attitude. I am confident that my disposition and efforts will undoubtedly benefit your company.
Throughout my career, I have consistently delivered standout results in diverse environments while maintaining humility and earning trust as an employee. I will steadfastly uphold this approach moving forward, creating greater synergy through collaboration with colleagues. I aspire to grow alongside your company and become a reliable member contributing to achieving its goals.
